We are looking for a front desk associate to join our team. This position is great for someone who enjoys being an extrovert, talking with patients, upselling services, and overall, serving as our first impression to anyone who walks in the door.
Front Desk Associate Job Responsibilities:
This position is Monday-Friday, full time. Hours are generally between 8am-5pm, but may be variable depending on the daily schedule and pending your availability (ie: we can consider alternate start/stop times). We value your time, therefore this position will not require overtime. This position reports to the office administrator.

Front Desk Associate Job Responsibilities:
- Serves patients by greeting and helping them, scheduling appointments, and maintaining records and accounts.
- Welcomes patients and visitors in person or on the telephone and answering or referring inquiries via email/EMR messages.
- Optimizes patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
- Keeps patient appointments on schedule by notifying provider of patient’s arrival, reviewing service delivery compared to schedule, and reminding providers of service delays.
- Comforts patients by anticipating patients’ anxieties, answering patients’ questions, and maintaining the reception area.
- Ensures availability of treatment information by filing and retrieving patient records.
- Maintains patient accounts by obtaining, recording, and updating personal and financial information.
- Obtains patient records from other offices or entities as needed.
- Obtains revenue by recording and updating financial information, recording and collecting patient charges, controlling credit extended to patients, and filing, collecting, and expediting third-party claims.
- Collects patient payments up front, in a timely manner, and helps the business achieve financial goals each month.
- Maintains business office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies, and scheduling equipment service and repairs.
- Helps patients in distress by responding to emergencies.
- Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information through HIPAA guidelines.
- Maintains operations by following policies and procedures, reporting needed changes.
- Collates and reconciles invoices and receipts on a monthly basis for office administrator.
- Contributes to team effort by accomplishing related results as needed.

Education, Experience, and Licensing Requirements:
- University/college degree is an asset, or certification in a medical entity
- Familiarity with operating a PC computer
- Previous experience with Microsoft Office software preferred
- Prefer 2+ years in a medical office setting.
